PowerPoint is a powerful tool which allows you to create professional presentations quickly and easily. The presentations are made up of slides that run like a slide show. You may also type speaker reference notes to use during your presentation. You may output the slides of your presentation in several different ways:
1. Print the slides or speaker's notes as handouts
2. Run the
presentation from the computer through a projector to use with a
lecture
3. Save as HTML for use on the Internet
4. Print as
overhead transparencies
5. Convert presentation to 35mm slides
To create a new presentation click on File and then New. From here you will have to make a few decisions. When it comes to creating a presentation, PowerPoint has different levels of control and involvement. Which level you choose depends on your needs. There are three different ways to create a presentation.
1. Autocontent Wizard:
PowerPoint has the most control over your presentation in this setting. If you choose the Wizard you will be prompted to enter some information about your presentation. Then PowerPoint will choose a layout and design for you. All you have to do is fill in the text. This can be restricting if you have definite ideas about how your presentation should look.
2. Presentation Designs (Templates):
This choice allows you to choose a uniform background (template) for each of your slides. Once you choose the background, you may add your own text and choose different layouts.
3. Blank Presentation:
This is the least restrictive option, but allows you to create your own design.
There are four different ways to view the same presentation in PowerPoint. Switching between different views will help you organize and edit your presentation. To change views click on View in the Toolbar and then choose the appropriate view.
1. Slide view: This view allows you to edit the one slide that you are working on.
2. Slide Sorter View: This view shows all the slides that have been created. From this view you can reorder, delete, and edit slides.
3. Notes Page: In this view you can type speaker notes to use during your presentation. You can also print a copy of your notes for reference.
4. Outline View: In this view your presentation appears as an outline made up of the titles and main text from each slide. This is the best view to organize ideas for your presentation because you can see how your points flow from slide to slide.
To create a new slide click on Insert and then drag to New Slide, or click on the New Slide button in the Common Tasks bar. Each time you create a new slide you will be prompted to choose the slide layout. The layouts range from lists with bullets to organizational charts. Choose the layout that most fits your needs.
Note: It is very important that each slide have a title. The titles help with the organization and readability of your presentation.
Once you choose a slide layout, you can click in the frames and type in your text. Just as in word processing, you can edit and format the text.
1. Select the Text to Format by clicking on the appropriate box or
highlighting the text.
2. Click Format on the menubar and
then choose the appropriate formatting option.
3. There are
several options for formatting in this menu:
a. Fonts: Changes the font size, style.
b. Alignment: Changes the Alignment of the text.
c. Slide Color Scheme: Change the color scheme of the slides with this option.
d. Apply Design: Changes the background design.
e. Line Spacing: Change the spacing between lines and paragraphs.
There are several ways to delete a slide. Click Edit on the main menubar and drag to "Delete Slide". In the Slide Sorter view, click on the correct slide and press "delete" on the keyboard.
Objects such as clip art, autoshapes, and word art can add style to your presentation. To add an object to your presentation click on Insert in the main menubar and pull down to the object you want.
1. Clip Art: These are small drawings provided by PowerPoint.
2. Autoshapes: These are pre-formed shapes that you can include in your presentation (i.e. rectangles, polygons, arrows).
3. Word Art: This allows you to choose a creative style for some of the text on your slide.
If
your presentation is destined to be on-line, PowerPoint allows you to
create hyperlinks to other websites or pages. Just like any other
webpage, your presentation can have links throughout the Internet. To
create a hyperlink:
1. Highlight the text that will be used as the hyperlink
2.
Click on Insert in the main menubar.
3. Click on
Hyperlink.
4. Fill in the box with the URL (http://) or the
filename of the page you want to link to.
Printing
SlidesWhen the presentation is finished you can print out the slides, handouts, notes pages, and/or the outline. Click on File in the menubar and drag to Print. From the print menu, you can choose what you want to print:
as HTML. A wizard will appear to guide you through the steps to save your file as HTML. Tip: The graphics size should be set at 640x480, or about 3/4's size of normal screen size.
